Barn Manager

Reports to Executive Director

Nature of the position: Full time, flexible schedule to support events – evenings/weekends

 

The Barn Coordinator will be responsible for scheduling, marketing, financial controls, and coordinating all Barn activities and events through a shared calendar system. The role is responsible for the gift store, museum and event ticketing, the commercial kitchen, vendor relations, and oversight of private and WL events to ensure smooth and efficient operations.


Qualifications:

  • Excellent communication skills – verbal and written

  • High degree of technology competence

  • Marketing and customer service experience

  • Logistical, problem-solving, and multi-tasking skills

  • Bachelor’s degree with at least three years of sales or event related experience

 

Essential Duties:

  • Manage all aspects of the Barn as an event venue

  • Maintain marketing information and FAQs on the website

  • Support social media and press relations as appropriate

  • Establish and maintain relationships with vendors and regional venues

  • Serve as a venue representative

  • Front of house welcome – educate visitors about WL mission, history, and membership

 

Responsibilities:

  • Serve as venue coordinator on event days

    • On-site representative

    • Field facility-based questions

    • Ensure guest satisfaction and safety

    • Ensure that contract terms are being met by all parties

  • Oversee the administration of the Gift Shop/Admissions

    • Promote the Barn, Museum, campus, programs, and activities

    • Supervise or prepare daily deposits; work with the bookkeeper

    • Maintain the barn/online store

    • Collaborate with other staff on inventory decisions and ordering

  • Manage Barn venue marketing, scheduling, contracts, billing

    • Work with Bookkeeper regarding invoices and payments

    • Create annual plan of advertising

    • Oversee event schedule and calendar, respond to enquiries, take deposits

    • Respond to client questions leading up to an event

    • Build strong, positive client relationships

  • Coordinate communications and public relations​

    • Create e-blasts to market special exhibits, programs, and merchandise

    • Track, leverage, and manage media & social media coverage of events and activities.

    • Develop and implement an advertising strategy across media platforms, including print, digital, and social media

    • Schedule regular posts on social media platforms; work with other staff in developing social media content

    • Work with the Executive Director with regards to media interviews and opportunities

  • Manage the schedule to ensure adequate support for Woodlawn programs

    • Work with the Downeast Senior College re: membership and schedule

    • Support efforts of students, volunteers, interns, researchers with archives/library

    • Manage the schedule to support the education programs and community outreach

  • Fulfill the responsibilities of all Woodlawn staff

    • Attend regular staff meetings and relevant committee meetings

    • Participate in Woodlawn events

    • Participate in outreach activities throughout the community and region

    • Assist in maintaining a safe and welcoming museum campus

    • Work in partnership with Office Manager, Caretaker, Janitor, and bookkeeper

    • Work collaboratively with Education Director and Collections Manager

 

Full time/exempt position; $24/hour; flexible schedule
30 PTO days to use as you wish (includes holidays, vacations, sick)
This position may require working on observed holidays
Health contribution but no benefits provided
